With our VETASSESS document verification service, you can ensure all documents that pertain to your application are supplied correctly. This service specifically caters to applicants who need VETASSESS skills assessments done and ensures all documentation complies with VETASSESS requirements before submission. Earlier identification of errors, omissions, and inconsistencies will aid in averting assessment delays or negative consequences.
All the information a skilled migration applicant should know regarding the VETASSESS Document Verification process, including what documents are required and the cost, and of course, the crucial checklist that will result in a ‘not suitable’ outcome when you are assessed.

A positive VETASSESS skills assessment is a condition of visa entry for skilled migrants applying for visas like Subclass 189 (Skilled Independent), 190 (Skilled Nominated) and 491 (Skilled Work Regional). One of the most common reasons for poor or late results is incorrect documentation โ many of these mistakes can be avoided.
VETASSESS Document Verification is two types of processes related to the VETASSESS skills assessment ecosystem. The first step between successful applicants and those who end up losing months due to avoidable delays is the understanding of the difference.
An advisory consultation prior to submission with a review of your proposed documents by a VETASSESS Administrative Officer against the published mandatory documents for your nominated occupation. This is a paid, bookable service which looks at your documents only to verify that you have the appropriate documents in the appropriate format before you put in your full application, and does not assess your qualifications.
The internal verification that the VETASSESS assessors do when they review submitted documents in the context of a full VETASSESS skills assessment application. This includes the verification of certified copies, employment evidence authenticity, qualification credentials and โ for Chinese qualifications โ the Chinese Qualifications Verification (CQV) process.

VETASSESS employs a comprehensive methodology in assessing qualifications and evidence of employment. Even minor omissions, such as incorrectly certified copies or incomplete employment letters, can lead to undue requests for more information or outright refusal. Allow us to assist you in gaining confidence to pursue your plans by providing the VETASSESS document verification service.

Take our free Eligibility Test โ answer 5 quick questions about your engineering background, qualifications, and visa goals. We’ll identify your assessment body, ANZSCO code, and the exact documents required. Takes under 3 minutes.
VETASSESS divides documents into four groups categorised as required documents. Each group has standards; a document that does not conform to the required document format is counted as a missing document.
This is the most commonly problematic area. VETASSESS needs evidence of employment that is paid, full-time (โฅ 20 hrs/week), skilled and highly relevant to your ANZSCO occupation code.
Document Type | What VETASSESS Needs To See | Status |
Statement of Service / Reference Letter | Company letterhead, your full name, position title, start/end dates, hours per week, main duties performed, name of supervisor, and a supervisor’s signature, official contact information | Essential |
Payslips | Employer name, your name, pay period, salary/wage. Random sampling not only in the recent job period, but throughout the employment period. | Essential |
Employment Contract | Original signed contract indicating employment role, salary and hours. Adds detail to reference letter regarding duties. | Strongly Recommended |
Tax Documents | Tax returns, tax certificates verifying employment time and employer. | Strongly Recommended |
Job Description | Official HR job description that matches the duties claimed in the job description. Assists VETASSESS in assigning tasks to ANZSCO codes. | Strongly Recommended |
Self-Employment Statutory Declaration | For sole traders only: Statutory declaration signed by a registered accountant or solicitor on the professional’s letterhead, confirming the nature, duration and continuity of the business. | Essential (if self-employed) |
If submitting documents, they should be certified copies (except in the case of originals). VETASSESS states that acceptable certifiers do differ per country; for Australia, it is acceptable to have a Police Officer, Solicitor, or Justice of the Peace sign the certificate. A notary public or equivalent is required overseas. On each page of a document, the certifier is to write “I certify this is a true and correct copy of the original” followed by their name, qualification/title, date, and signature.
The Document Checking Service (DCS) is one of VETASSESS’s Skills Assessment Support (SAS) services. It’s sorely misunderstood by many applicants.
The DCS Does | The DCS Does Not |
Verify with the relevant documents for your profession | If applicable, that you have the correct documents and that your skills are the same as in Australia |
Inform you about the documents that are required before applying for a skills assessment, if they are missing | Ensure a positive outcome to the skills assessment |
Give guidance on the format, certification and translation of your employment letters | Review the content of your employment letters or assess their sufficiency |
One occupation per booking | Remove the need to use the Skills Assessment application |
Performed by a VETASSESS Administrative Officer | having an assessor check your real likelihood for your occupation |
This is our Document Checking Service, which is not a Skills Assessment but is instead for the mandatory documents for a future Skills Assessment application. Focus on specific documents discussed with a VETASSESS Administrative Officer.
Who should use the DCS? The DCS is most useful for applicants who have: complex employment histories (multiple employers, gaps, contract employment), overseas qualifications in less common systems, been self-employed, or in situations where the required document checklist for the occupation they apply for is unclear.
Prior to collecting any documents, verify the occupation you have nominated and the relevant 6-digit Australian and New Zealand Standard Classification of Occupations (ANZSCO) with the VETASSESS occupation list. Document requirements differ from occupation to occupation, especially in the case of employment documentation. Choosing an occupation that is incorrect will result in the collection of the wrong evidence.
VETASSESS publishes a checklist for each occupation. Please download this and read it before picking anything up. Record specifically what kind of employment proof is required and if there are any country-specific requirements for your job (such as CQV for Chinese qualifications).
Consult with DCS on the VETASSESS SAS Portal for AUD$171. The booking date will be confirmed within 10-12 working days. Make a list of documents to submit. The officer will review the list of your documents to see if it is complete for your occupation.
Compile all necessary paperwork. Get any documents that are not translated into English by a certified translator. Ensure that copies have been certified properly โ each page, proper certifier for your country, complete Certification Statement. On-line applications must be done via colour scans of certified copies.
Please submit via the VETASSESS online portal. At the right moments, the portal will request your to upload documents. Make sure all documents are uploaded in good quality colour PDF scan. Pay the applicable fee (standard: AUD $1,070; priority: AUD $1,070 + $825 extra).
Your documents are checked against requirements by VETASSESS assessors. In the case of Chinese qualifications, this step is followed by CQV. If a document is missing or it does not meet the requirements, VETASSESS will send you an Additional Information Request, providing you with 28 days to provide the information. If unsuccessful, another attempt will be made in the two follow-up attempts before the application is finalised as “not suitable.
The new reforms for December 2025 apply to a complete lodgement, which takes around 7 weeks to process (down from 12โ14 weeks for many occupations). A letter will be sent to you stating whether you are “Suitable” or “Not Suitable”. A “Suitable” outcome is valid for 3 years and can be used for visa applications and state nomination.

VETASSESS has updated its fee schedule to 22 October 2025. All prices as at that date (before GST).

Incomplete certification | Only the first page of a multi-page document is certified, or the certifier’s details are incomplete | Every page is certified independently; the certifier includes name, title, date, signature, and contact on each page |
Vague employment letters | Reference letters describe job titles without listing specific duties; duties don’t map to ANZSCO descriptions | Prepare a duty template based on your ANZSCO unit group description; share it with your employer for their reference |
Name inconsistency | Passport name โ qualification name โ employment name with no linking documents | Submit certified copies of marriage certificates, deed polls, or other name-change documents for every variation |
Missing translations | Non-English documents submitted without certified English translations | Use NAATI-accredited translators; ensure translator credentials and signature appear on every translated document |
Payslips without employer details | Payslips only show employee name and amount, not the employer name or ABN | Source payslips that display employer name and contact details, or supplement with bank statements showing employer deposits |
Employment gaps unexplained | Timeline gaps between employment periods raise inconsistency flags | Include a cover letter or statutory declaration explaining any gaps of more than 2โ3 months |
Self-employment without adequate evidence | Sole traders provide only business registration, which doesn’t prove ongoing skilled work | Include accountant/solicitor statutory declaration on letterhead + client contracts + tax records + any professional memberships |
Chinese qualifications without CQV | PRC qualification documents submitted directly without prior CQV โ VETASSESS cannot assess them | Apply for CQV before lodging skills assessment; include CQV application number in your skills assessment application |
Whether you take advantage of the Document Checking Service or not, self-audit your document package with this actionable framework.
A checklist of general points to consider before submitting your VETASSESS application
Verify Identity Chain
Ensure all names in all documents are consistent with your existing passport, and there are no breaks in the name.
Employment Duty Match
Line by line, compare each duty from the reference letter with the corresponding unit group description from your ANZSCO to verify that they match.
Review Certification
All pages of all documents are certified โ not just the front page.
Inspect Translations
Any documents that are not in English are translated into English by NAATI (or equivalent), and the certificate of the translator is evident.
Fill Gaps Proactively
Close and/or explain any time gaps in the employment history and/or periods of self-employment (SD)
Yellow-Flag Country Rules
Applicants with qualifications from China, the Philippines, Pakistan, Nigeria, Lebanon or Europe โ please find out if there are country-specific additional requirements before submitting.
For candidates with qualifications from the PRC, there is an extra document verification process โ the Chinese Qualifications Verification (CQV) service.
The CQV is taken through VETASSESS in collaboration with the China Higher Education Student Information and Career Centre (CSSD). It authenticates academic qualification documents issued by PRC institutions since 1981. Does not include qualification from Macau or Hong Kong.
CQV Document Type | Fee (AUD) | Processing Note |
Degree Certificate Verification | $148 | Follow up 8 weeks or more prior to the commencement of employment |
Certificate of Graduation Verification | $148 | 8 weeks minimum |
Professional Master’s Degree | $148 (+ Bachelorโs CQV) | The underlying Bachelor’s degree should also be provided for CQV |
CQV is required and not just applied for, and must be completed BEFORE Priority Processing eligibility is determined for Priority Processing applicants who have Chinese qualifications.
Use this as a checklist to help you know you are ready to submit. Please note that you must fill in all the items in the Essential column before submitting your application.
